Documents New York can apostille

  • Public documents issued in New York State signed by a New York State official or county clerk
  • Birth, death, and marriage certificates
  • Divorce certificates
  • Educational documents
  • NYS Division of Criminal Justice Services background checks
  • Notarized documents such as powers of attorney

The issuing state is what matters, not where you live now. A document issued or notarized in another state goes to that state's office, and documents from federal agencies go to the U.S. Department of State through our federal apostille service.

New York requirements to check before you book

  • Notarized documents must first be certified by the County Clerk of the county where the notary is qualified.Source
  • Vital records issued by a local or county official must first be certified by the County Clerk of the county where issued; NYS Department of Health records signed by the Director of Vital Statistics or State Registrar need no County Clerk certification.Source
  • NYC vital records must be certified by the New York County Clerk's Office, and NYC birth and death certificates also require a Letter of Exemplification.Source
  • Educational documents must be certified by an official of the institution, and that official's signature must be notarized.Source
  • Requests must include the completed Apostille/Certificate of Authentication Request Form (DOS-1917-f); incomplete forms are returned for correction.Source

Good to know

  • The Department cannot apostille federal documents; FBI background checks must be authenticated by the U.S. Department of State.
  • DCJS background checks must include the signature of the DCJS representative and be accompanied by the signed cover letter.
  • Use the newest request form; credit card payments without a CVV are rejected and documents returned.

About our New York apostille service

New York apostille and authentication service handles the extra county clerk certification step that trips up so many New York filings. We work with NYC and state vital records, court documents, notarized agreements, diplomas from New York universities, and corporate paperwork bound for foreign registries. Trilogy Notary Services LLC prepares the chain of certification and manages the New York Department of State submission for clients nationwide by mail.

How it works

  1. Book onlineChoose the option that matches your document and destination, then tell us the document type, the country where it will be used, and your deadline.
  2. We review your document firstBefore anything is filed, we check it against the New York requirements on this page. If a step is missing, such as a notarization or a certified copy, we tell you what's needed before we file.
  3. Send your original or meet a notaryWe send mailing instructions after you book. If your document still needs to be signed and notarized, one of our mobile notaries can meet you, or you can use remote online notarization where it's accepted.
  4. We file and track itWe submit your request to the New York Department of State with the government fee and follow it until the office releases it.
  5. We ship it backYour documents come back by tracked shipping. If your destination also needs embassy legalization or a certified translation, we can handle that next.

Pricing

$355 per document.

Prices include the New York state fee, courier filing, return shipping, and handling. Sales tax is added at checkout where it applies, and any deposit is shown before you pay. If you have more than one document, tell us the count when you book and we'll confirm your total.

Government processing times are set by the issuing office and change during the year. We don't promise a delivery date that depends on a government office, and we'll tell you the current timing when we review your order.

Common questions

How much does a New York apostille cost through Trilogy?

Our New York apostille service starts at $355 per document. That price includes the New York government fee of $10 per document, plus courier filing, return shipping, and handling. Sales tax, if it applies, and any deposit are shown at checkout before you pay.

Who issues apostilles in New York?

The New York Department of State, Division of Licensing Services (Apostille and Authentication Unit). Trilogy Notary Services is a private document services company: we prepare and submit your request and track it, but the apostille itself is issued by the state office.

What does New York require before it will apostille a document?

Notarized documents must first be certified by the County Clerk of the county where the notary is qualified. Vital records issued by a local or county official must first be certified by the County Clerk of the county where issued; NYS Department of Health records signed by the Director of Vital Statistics or State Registrar need no County Clerk certification. We check for these before anything is filed.

Can New York apostille an FBI background check or another federal document?

No. Documents issued and signed by a federal agency, such as an FBI background check, are authenticated by the U.S. Department of State, not by the New York Department of State. We handle those through our federal apostille service.

What if my destination country is not in the Hague Apostille Convention?

For non-Hague countries, New York issues this instead of a standard apostille: Certificate of Authentication. Many non-Hague countries then require embassy or consulate legalization, which we handle through our embassy legalization service. Tell us the destination country when you book.

How long does a New York apostille take?

As published by the state when we checked on October 29, 2026: No turnaround stated for mailed requests. Walk-in: same-day service, up to 10 documents per customer. Drop-off requests are not prioritized and are processed by receipt date. Add time for document preparation and shipping both ways. Government processing times change and are outside our control, so we don't promise a delivery date.
